This Privacy Statement explains how Sanos Group ApS (“Sanos”) will collect and process personal data about you as a job applicant, including your job application, your CV and other relevant material. Based on your consent Sanos may store your personal data for relevant future positions. It also outlines your rights regarding your data and how you can exercise them.
Sanos kindly requests that you only submit personal data about yourself in your job application, CV or other relevant material you choose to provide to us, to the extent such information is relevant and necessary for the specific position you are applying for.
The data controller responsible for the processing of your personal data is, as a general rule, the specific legal entity within Sanos Group ApS to which your job application has been submitted.

Sanos' primary purpose of processing personal data in the recruitment process is to recruit the most qualified applicants. Thus, Sanos processes your personal data for the purpose of assessing your skills, qualifications and suitability for the vacant position. Sanos may also process your personal data to carry out background and reference checks, conduct assessments (e.g. personality tests, skill assessments and tests to assess candidates’ cognitive abilities and potential for the position.), communicate with you about the recruitment process, accommodate your requests and inquiries for information, keep records related to our hiring processes.
Sanos processes the personal data you have provided to us by submitting your job application, CV and other relevant material (such as diplomas, references, etc.). If deemed necessary and legitimate, Sanos may also obtain and process statements from your former employers, such as information on your job assignments and professional qualifications. We will only contact references, which you have provided to us.
Further, Sanos Group may process your criminal records as a condition for recruitment for a specific vacancy/job position. In cases, where this is done, HR in Sanos will collect the information from you by reviewing records face-to-face or during an online interaction. HR will then note, date of review in HR system. The actual record will not as such be archived at Sanos.
Sanos processes the personal data you have provided to Sanos for recruitment purposes to pursue the legitimate interests of Sanos such as administration of recruitment process and evaluation of the job applicants, cf. Article 6(1)(f) of the General Data Protection Regulation ("GDPR").
If you are offered a position, processing of your personal data will be necessary in order to take steps at your request prior to entering into an employment contract, cf. Article 6(1)(b) of the GDPR.
If we process your criminal record, processing of your personal data will take place based on the Danish Data Protection Act section 8.3.
Storage of your personal data for relevant future recruitment will only take place based on your consent to such processing, cf. Article 6(1)(a) of the GDPR.

Such data processors will only process personal data about you on behalf of Sanos and in accordance with the instructions given by Sanos. Thus, these third-party recipients are not permitted to process your personal data for their own purposes.
If your personal data is transferred to data controllers or data processors which are located in countries outside the EU/EEA, including group entities, not ensuring an adequate level of data protection, such transfer will be subject to Sanos providing appropriate safeguards pursuant to art. 46 in the GDPR or by ensuring a derogation for specific situations pursuant to art. 49 in the GDPR.
If you are not offered the position you applied for or if you have withdrawn your application, Sanos will, as a general rule, delete your personal data at the time of rejection or your withdrawal.
In certain cases, Sanos can retain your job application, CV and other relevant material for up to 6 months, for instance, where there might be established potential legal claims. It is accepted by the Danish Data Protection Agency that applications from unsuccessful applicants can be retained for up to 3 years. The specific retention period will be based on a specific assessment.
If you are not offered the position, but Sanos considers you as qualified, Sanos will obtain your consent to the storage of your application for the purpose of contacting you in relation to a relevant vacancy in the company in the future. If you have given your consent, Sanos can retain your application, CV and other relevant material for up to 6 months from the time of your consent or until you choose to withdraw your consent by contacting the hiring manager for the position you applied for.
Below is an outline of your data subject rights. However, kindly note that such rights are not unconditional.
As a starting point, you have a right of access to the personal data which we store and process about you. Furthermore, you have the right to rectification and erasure (the right to be forgotten), and the right to restriction of the processing activities.
Under certain circumstances, you may also request that we provide you with an overview of your personal data in a structured, commonly used and machine-readable format and request us to transmit such data to another data controller.
If processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal will not affect the lawfulness of the processing carried out before withdrawal. You may withdraw your consent by contacting us at dataprotection@sanos.com.
